How should you plan an airport transfer?

Confirm the exact airport and terminal, local arrival date and time, final address, passenger count, luggage and mobility needs before choosing a mode. Then check the current airport or transport-operator instructions and keep a disruption plan. A separately booked transfer is not automatically protected when a flight changes.

Build the plan around the real arrival

Use the operating airline’s arrival details rather than relying only on an airport code: some cities have several airports, terminals can have different exits, and baggage reclaim changes when you can reach a meeting point. Record the complete destination address and any reception hours, pedestrian zone, steps or final walk that matter to the group.

List every traveler, standard and oversized bag, child seat requirement and mobility device. Compare the whole journey, not only its first leg: a rail or bus option can require a station change and a final local connection, while a direct vehicle still requires a confirmed meeting place and suitable capacity.

Arrange accessibility as two separate tasks

European Commission guidance says passengers with disabilities or reduced mobility have rights to free assistance for covered journeys and recommends notifying the airline, ticket seller or tour operator at least 48 hours before air travel for the best assistance. Without that notice, reasonable efforts to assist are still required under the stated conditions.

Airport or airline assistance does not confirm that an onward transfer vehicle is accessible. Tell the booking provider about wheelchairs, mobility equipment, assistance animals and help needed at pickup, and require the current offer or confirmation to state what can be carried and provided. Do not infer suitability from a vehicle-class name.

Keep a disruption plan that respects separate contracts

Monitor the operating airline and the airport before departure and after a material change. If the arrival moves, follow the transfer provider’s current contact, waiting, change and cancellation instructions. Do not assume that flight rights extend to a separately purchased transfer or that a provider monitors flights unless the live offer says so.

EU air-passenger rights depend on the flight, carrier, disruption and other conditions. Eligible passengers may have choices or assistance after certain cancellations and delays; the official guidance also advises keeping receipts for necessary, reasonable and appropriate expenses when assistance should have been provided. It does not guarantee reimbursement for every onward booking.

Make the final checks before travel

Shortly before travel, use the relevant airport, railway, municipal network or transport operator to verify terminal access, stops and current operation. Keep a workable alternative if the planned public-transport connection no longer fits the arrival or final address.

In the private-transfer provider’s live offer or confirmation, verify that the vehicle fits the travelers, luggage and mobility equipment, then check the exact meeting point, total price and current waiting, change and cancellation terms. Save the voucher and provider contact details before traveling.
